Service Policies


As of Nov. 8, 2017, all eligible ITS Exchange accounts have been upgraded to Office 365 for Email and Calendar. See the OFFICE 365 website for email and calendaring info.

This page, documenting the now-legacy UVA Centralized Exchange Service will be available on ITSWeb until Jan. 15, 2018, after which date it will be removed.

UVa Exchange Service Policies

Mailbox Size

The size limit for an Outlook mailbox on the UVa Centralized Exchange Service is 4 Gigabytes (GB). This encompasses all mail within the mailbox, including mail stored in the Sent mail folder, personal folders, and attachments. Users will get warning messages as they approach the 4 GB limit.

Message Size

The maximum size of an incoming or outgoing email message (including attachments) is 25 Megabytes (MB). You will receive a warning if you exceed this amount. This limit is in line with those set by other email providers including Gmail, Yahoo, and Hotmail. Any user who needs to share a larger document should consider using UVaCollab, SharePoint, or the Home Directory Service.

Outlook Software Only

Beginning Jan. 1, 2014, ITS support for Outlook 2007 will be discontinued as its product lifecycle has ended and is no longer supported by Microsoft. The following Microsoft applications are supported for use with the UVa Centralized Exchange Service: Outlook 2010, Outlook 2011 (Mac), Outlook 2013, and Outlook Web App (OWA). ITS support for 3rd-party Exchange client software (for example, Apple Mail and Thunderbird) was discontinued on Aug. 1, 2012. Most UVa users can install or upgrade official Microsoft Exchange client software free or at low cost.

Regularly Scheduled Downtime

The UVa Centralized Exchange Service will have a regular weekly (Thursdays, 10:00 PM - 2:00 AM) and monthly (the 4th Sunday, 6:00 - 10:00 AM) downtime to make service improvements. Service may be interrupted and/or unavailable to users during these times. Announcements will be made in advance on our System Status page.

Mobile Device Connections

ITS will only support mobile connections to the UVa Centralized Exchange Service via ActiveSync. Learn more about supported mobile device connections.

Email Restore Requests

Restores may be requested. Before restores are performed, procedure requires that the user have already searched his/her mailbox, searched their deleted items folder, and looked in Recover Deleted Items for the missing object. Exchange administrators have the permission to log on to the user’s mailbox and search for the items prior to performing the restore. The user must provide a date and time of when to perform the restore. If they do not know when the item was lost, but are certain they saw the items within the last 14 days, then the administrator will perform a restore from the oldest backup of the database.

If the user is unable to provide a date and time, and is uncertain the last time he/she saw the item, then the Exchange administrator will be unable to perform the restore.

Others Accessing Your Email

No one should access your email unless given permission by you or approval has been given according to UVa Policies. The Exchange Administration Team has permission to access your account on a troubleshooting basis when trouble calls are placed with the Help Desk, when a problem is reported, a request is made for a restore, or a request is made through UVa Policies. Other access should be given by you through permissions to your folders within the Outlook software.
