Using the Automated Email Migration Tool

What the Email Migration Tool Does

If you have decided to move from UVa’s Central Mail Service (CMS) to the UVa Exchange Service, the email migration tool will help you by:

  • copying your existing email and folders from the CMS to Exchange, and
  • register Exchange as your primary account, so all email sent to your old CMS address (e.g., mst3k@virginia.edu or to mike@virginia.edu) will be directed to your new Exchange mailbox.

You do not have to use the tool if you just decide to get a UVa Exchange account, but if you opt not to use the tool to redirect your CMS email to Exchange, then you will need to check two places in order to get all your UVa email from now on.

Manual Migration to Exchange

Advanced users may prefer to migrate themselves rather than use the automated email migration tool. For more information, see Moving to Exchange: DIY.

IMPORTANT: Before Migrating to Exchange...

Take the following steps to ensure you are prepared for this change.

  1. Check with your department’s LSP, if you have one, to let him or her know you are migrating your email account from the CMS to Exchange. (See the departmental LSP list.)
  2. Read the FAQ, How do I migrate from the CMS to Exchange using the email migration tool? What does it do?
  3. Remove any auto-forwards you already have in place.
    • If you have it set so that Exchange forwards email to your Central Mail Service (CMS) account, and you don’t remove that before using the migration tool, the tool will cause the CMS to start forwarding email to the Exchange server, and the Exchange server will forward it right back. This will cause a loop and you will lose your emails in cyberspace.

  4. Empty your trash.
    • Delete any unwanted messages in your CMS email account (including in your UVa-potential-spam folder), then empty your trash. In some mail programs, such as Outlook, you will then have to “Purge Deleted Messages” for your unwanted emails to really go away.
    • Taking the time to delete any messages will make your mailbox smaller and therefore help your migration go faster, and prevent your new Exchange mailbox from being cluttered up with junk mail.
  5. Now you are ready to migrate! Go to the email migration tool now>>.

After using this tool, you account will enter a queue to be migrated, and the request will be processed within 24-48 hours. You will receive an email at your new Exchange mailbox confirming your mail has been migrated. (You can check the Outlook Web interface (OWA) to receive this message if you do not yet have Outlook configured on your computer.)
