Do It Yourself: Manually Move Yourself to Exchange

Disclaimer

We recommend that you use the email migration tool to move from the Central Mail Service (CMS) to the UVa centralized Exchange server, but if you want to do-it-yourself (DIY) rather than automating the process using the email migration tool, you can.

Before Manually Moving Yourself to Exchange

IMPORTANT: Before beginning your email migration...

Before migrating yourself, be sure to follow Steps 1, 3, and 4, as explained on Before Migrating to Exchange:

  • Step 1: Check with your LSP, if you have one.
  • Step 3: Remove any auto-forwards you already have in place.
  • Step 4: Empty your trash.

(You may skip Steps 2 and 5 on that page, as they deal with auto- rather than self-migration.)

Steps to DIY: Manually Move Yourself to Exchange

The steps outlined below will allow you to manually complete the steps that the email migration tool would do automatically.

  1. Change where your primary address delivers messages:
    1. Go to the UVa Email Address Management System and log in through NetBadge if needed.
    2. Click the Manage Deliverable Addresses link.
    3. Look to see what deliverable addresses are available. If your UVa Computing ID@eservices.virginia.edu already appears, and is:
      • active, you may skip down to step g now.
      • inactive, click Remove from use. Then click Submit and continue with these instructions.
    4. Type your UVa Computing ID@eservices.virginia.edu, (e.g., mst3k@eservices.virginia.edu) in the box after the words: Add a deliverable address in the format "youraddress@yourdomain.virginia.edu."
    5. Click the Submit button, then close the browser window.
    6. Check your Eservices email account using Outlook Web App (OWA) for an email from the UVa Postmaster. The message will ask you to click a link to confirm the deliverable address. (If you do not see the message in your Inbox, check your Junk E-mail folder). Click the link inside the message; when you do, another browser window will open to the UVa Email Address Management System, and you will be able to see that your deliverable address is now active.
    7. In the UVa Email Address Management System, click the Manage Aliases link.
    8. In the top box, click on virginia.edu, then click the Submit button.
    9. Scroll to the bottom of the screen. Find your primary address UVa Computing ID@virginia.edu.
    10. In the deliverable address column, click the down arrow by the existing deliverable address for your primary alias.
    11. Select your UVa Computing ID@eservices.virginia.edu, then click the Submit button.
    12. Follow these instructions for any alias addresses you may also wish to redirect to the UVa Centralized Exchange server (e.g., if you wish for mtheatre@virginia.edu to go to your Exchange account, as well as mst3k@virginia.edu, repeat the steps above.)
  2. Delete your CMS mail filtering (server-side) rules:
    1. Go to the CMS WebMail interface and log in through NetBadge if needed.
    2. Click on the Settings tab.
    3. Click Server Side Rules.
    4. Delete the rules.
    5. Log out.
  3. Forward all email sent to your CMS deliverable address (e.g., mst3k@cms.mail.virginia.edu) to your new Exchange mailbox. To create an auto-forward:
    1. Go to the CMS WebMail interface and log in through NetBadge if needed.
    2. Click the Settings tab.
    3. Click Forwarding.
    4. Select Enabled from the Forwarding is currently: drop-down menu.
    5. In the Your forward is currently set to: field, type: Your UVa Computing ID@eservices.virginia.edu For example: mst3k@eservices.virginia.edu
    6. Click the Update button.
  4. Copy your Central Mail Service (CMS) email and folders, including your Inbox, to the Exchange server:
    1. Make an IMAP connection to the CMS and to the UVa centralized Exchange server from Outlook.
    2. Drag-and-drop to move your folders from the CMS to Exchange.
