Migrating Your Mail from UVa Microsoft Windows Live to UVa Gmail
Now that you've decided to migrate to UVa Gmail...
- Start the process no later than Tuesday, Feb. 21, 2012, to ensure all your email is transferred before the cutoff date of March 1, 2012. If you do not already have one, a UVa Gmail account has now been created for you. Once you initiate migration, you should start checking your UVa Gmail account from that day on.
- Download any documents or files you have stored with Microsoft that you wish to retain before the March 1 cutoff as well.
If you do not migrate your messages and/or download your documents before March 1, you will lose them, and ITS has no way of restoring these for you!
Instructions for Migrating Your Email Messages
About the Microsoft Windows Live@edu Password You Need
The Microsoft Windows Live@edu password you need for this migration was set directly with Microsoft (not UVa). You created it, as required by Microsoft, the first time you logged in to create your UVa Microsoft Windows Live@edu account.
- If you remember your Microsoft Windows Live@edu password: You are ready to Move Your UVa Microsoft Windows Live@edu Email to Your UVa Gmail Account now.
- If you do not remember your Microsoft Windows Live@edu password: First, reset it to a secure
password of your choosing. To do this:
- Log into your UVa Microsoft Windows Live@edu account through NetBadge.
- In the upper left of the screen, select Hotmail.
- In the upper right of the screen, click the Options pull-down menu, and then click More Options.
- Under the Manage Your Account heading in the left column, select the Account Details option.
- Next to Password, select the Change link.
- Under the Old Password text box, click the Forgot your password link.
- Select the I forgot my password button and then click the Reset your password link underneath.
- For your UVa Microsoft Windows Live@edu ID, type: your computing ID@virginia.edu (e.g., mst3k@virginia.edu).
- Complete the remaining information on the page and click Next.
- Follow the instructions provided on the subsequent pages.
Move Your UVa Windows Live@edu Email to Your UVa Gmail Account
Configuring your UVa Gmail account for the transfer of your UVa Microsoft Windows Live@edu email will:
- send all your existing email in your UVa Microsoft Windows Live@edu Inbox (but not your messages stored in email folders) to your UVa Gmail Inbox, and
- send any new, incoming emails to your UVa Gmail Inbox, until the Microsoft account is deleted on March 1.
Follow these instructions to set up your UVa Gmail account for the transfer:
- Log into your UVa Gmail account through NetBadge.
- Note: If you also use your Web browser to access a personal, non-UVa Gmail account, you will need to clear your browser cookies and cache, and then restart your browser, before continuing.
- Click the gear symbol in the upper right-hand corner of the UVa Gmail screen, then pull down and select the Mail Settings option. (Users of older versions of the UVa Gmail webskin should select the Settings link; there will be no gear symbol.)
- Select the Accounts tab at the top of the screen.
- In the Check mail using POP3 line, click the link Add a POP3 mail account you own.
- In the dialog box, type the email address: your computing ID@live.com (e.g.,
mst3k@live.com).
- Note the @live.com after your user ID; not @virginia.edu.
- In the next dialog box:
- Username: your computing ID@virginia.edu (e.g., mst3k@virginia.edu)
- Password: your UVa Microsoft Windows Live@edu account password (Not sure about this? See above, About the Microsoft Windows Live@edu Password You Need.)
- Leave Pop Server Settings and Port in their
default settings. (Note: The default Pop Server Setting should be POP3.live.com. If this is not what you see, substitute this in.) The other 4 checkboxes should be marked as follows:
- Unchecked: Leave a copy of retrieved messages on the server.
- Check: Always use a secure connection (SSL) when retrieving mail.
- Unchecked: Label incoming messages: your user ID@live.com or from the dropdown box, select Google Labels.
- Unchecked: Archive incoming messages (Skip the Inbox).
- Select the Add Account button.
- When asked the question “Would you also like to be able to send email as your computing ID@live.com,” (note the @live.com after your user ID, not virginia.edu) select No, then Finish.
- Your UVa Gmail account will then start the process of downloading your email from the UVa Microsoft Windows Live@edu Inbox (but not your messages stored in folders). Depending on how much email you have, this may take hours or even days to complete! We therefore highly recommend you start this process at least one week prior to the deadline—so by Tuesday, Feb. 21.
- Once you initiate migration, start checking your UVa Gmail account from that day on. UVa Gmail will “get” the messages from your UVa Microsoft Windows Live@edu account on a regular basis (about every 10 minutes).
Migrating Folders & Documents from Microsoft Windows Live@edu to Gmail
Migrating Your Email Stored in Folders (Not the Inbox)
The process described above to Move Your UVa Microsoft Windows Live@edu Email to Your UVa Gmail Account will only move the email messages stored in your UVa Microsoft Windows Live@edu Inbox. If you wish to keep other email messages you have stored in folders in your Microsoft Windows Live@edu account, you must take additional action to preserve them.
Although Microsoft provides no tools to transfer the email you have placed into folders, you can still move those emails to your Gmail account. To do this:
- First, manually move the messages from their UVa Microsoft Windows Live@edu folders back into your UVa Microsoft Windows Live@edu Inbox.
- Then, follow the steps above to Move Your UVa Microsoft Windows Live@edu Email to Your UVa Gmail Account.
- Once they appear in your UVa Gmail Inbox, you can re-sort the messages into folders there, if desired.
Migrating Documents & Files
Microsoft does not provide any means of transferring documents from your account.
If you wish to retain any files or documents you have stored with Microsoft, retrieve them before the March 1 cutoff date.
You can download them directly to your local machine, or, if you are familiar with using Microsoft’s document system, you can use the Download option.
Settings in the AMS (Address Management System) Will Change
If you have your deliverable mail setting (primary email address) or any UVa email alias pointing to your UVa Microsoft Windows Live@edu address, you will want to update them in the AMS. ITS will update any unchanged UVa Microsoft Windows Live@edu aliases/addresses to their UVa Gmail account equivalent on March 1.
