Emergency Distribution

After you have completed the mass mail form, you will need to alert ITS of the need to distribute a mass mail message with Emergency Distribution or Emergency with Rapid Distribution status.

Procedure

During normal business hours, for Emergency Distribution or Emergency Distribution with Rapid Delivery, you must call the ITS Help Desk at (434) 924-4357 to notify them that you have submitted a request for an Emergency Distribution (or an Emergency Distribution with Rapid Delivery) massmail message. The Help Desk will notify the appropriate personnel to begin the process of distributing your message.

If your message must be distributed at night or on a weekend, please call the ITS Help Desk at (434) 924-4357 and listen to the voice recording for information on how to report a computing emergency. Use the directions provided to contact on-duty staff. The information you must provide the on-duty staff is as follows:

  • You have a request for Emergency Distribution, or Emergency Distribution with Rapid Delivery, of a massmail message that requires assistance from the on-call Network Systems staff person.
  • Your name.
  • A telephone number where you can be reached if there are questions.

If the on-duty staff are busy at the time you call, leave a voicemail message with the above information.

The on-duty staff will contact appropriate personnel to begin the process of distributing your message.

When possible, receipt of all information for a message requiring Emergency Distribution, or Emergency Distribution with Rapid Delivery, should be provided no later than 3 PM local time on the day the request for distribution is received.

If there are problems with an email server or the UVa network, distribution of your message may be unavoidably delayed, even when emergency handling is requested.
